Information we collect
When you submit a form, request a resource or contact us, we may collect:
- Your name and work email address.
- Your organisation and number of Homes, where provided.
- The resource, service or form you contacted us about.
- Your marketing preference.
- Email-delivery and spreadsheet-download information, such as whether an email was accepted or a download link was used.
- Limited technical and security information needed to operate and protect the website.
If you book a meeting through Calendly, we receive the booking details you choose to provide.
How we use your information
We use your information to:
- Send resources you request.
- Respond to enquiries and early-access requests.
- Arrange demonstrations and discuss our services.
- Operate, protect and troubleshoot the website.
- Maintain appropriate records of our relationship with you.
- Send occasional training-related updates where we have permission to do so.
- Meet our legal and regulatory obligations.
We generally rely on our legitimate interests to respond to requests, operate our website and manage business relationships. We rely on consent for optional email marketing. We may also process information where necessary to comply with a legal obligation.
You can unsubscribe from marketing at any time using the link in an email or by contacting us. We do not use your information for automated decision-making or profiling.
Who we share information with
We use a small number of service providers:
- Cloudflare provides website hosting, database and file storage, and Turnstile security checks.
- Resend delivers emails.
- Calendly handles meeting bookings when you choose to use it.
- Professional advisers or public authorities where reasonably necessary or legally required.
We do not sell personal information or share it with other organisations for their own marketing.
Some providers may process information outside the UK. Where this happens, we rely on appropriate safeguards recognised under UK data protection law, such as adequacy regulations or approved contractual clauses.
How long we keep information
We keep enquiry and resource-request information for up to 48 months after your last meaningful interaction with us. A meaningful interaction may include submitting a form, attending a meeting, replying to an email or otherwise contacting us.
We use this period because purchasing and planning cycles within care organisations can extend over several years. We review retained information at least annually and delete or anonymise it sooner where it is no longer needed.
We keep marketing contact details until you unsubscribe or for up to 48 months without meaningful engagement, whichever happens first.
If you unsubscribe, we may retain a minimal suppression record for as long as reasonably necessary to ensure we respect your preference.
Private spreadsheet links expire after 30 days. Customer, contractual, accounting or legal records may be retained for longer where required.
Security and cookies
We take reasonable technical and organisational measures to protect personal information.
We do not currently use advertising or analytics cookies. Cloudflare Turnstile may process limited technical information and use necessary security technologies to distinguish genuine visitors from automated traffic. It does not receive the information entered into the form. Read more about Cloudflare Turnstile.
If you follow a link to Calendly, its own privacy and cookie practices apply. Read the Calendly privacy notice.
Your rights
Depending on the circumstances, you may have the right to:
- Ask for a copy of your personal information.
- Correct inaccurate information.
- Ask us to delete or restrict the use of your information.
- Object to certain processing.
- Withdraw consent.
- Receive information in a portable format.
You may object to direct marketing at any time.
To exercise a right or raise a concern, email [email protected]. We may need to confirm your identity before responding.
If you remain unhappy after contacting us, you can complain to the Information Commissioner's Office.
Changes to this policy
We may update this policy when our website, services or use of personal information changes. The latest version will always be published on this website.
